One sentence turns your spreadsheet into a dashboard

Your bookings, clients, and expenses live in a Google Sheet, and every time someone asks how things are going you squint at rows. Type one sentence in Gemini and it builds a real page with charts, totals, and filters. Free, and you change it by talking.

What one sentence gets you

You keep the numbers in Google Sheets. Bookings in one tab, expenses in another. It works, until a client, a partner, or your accountant asks how the month is going, and you scroll, squint, and add things up in your head.

Gemini Canvas reads the sheet and builds a dashboard from it. Charts, totals, a filter or two, on a page with its own link. You send the link. They see the numbers. You skip the formulas and the chart menus completely.

It works in the free Gemini. You need a Google account and a sheet with your numbers in it. That's the whole list.

Before you paste it

4 steps before you type the sentence

Two minutes of setup saves you 20 minutes of "no, the other tab." Do these in order.

Open your sheet in Google Sheets
Look at the tab names along the bottom. If they still say Sheet1 and Sheet2, rename them to what's in them: Bookings, Expenses, Clients. Double-click the tab to rename it. Then check that row 1 holds your column headers (Date, Client, Amount) with no empty rows above it. Gemini reads those names, and clear names cut the guessing.
Open Gemini in a new tab
Go to gemini.google.com. Use the same Google account the sheet lives in, or Gemini won't be able to see it.
Click the + button and pick Canvas
The + sits at the left end of the message box. Canvas opens a workspace next to the chat. That's where the dashboard gets built, and where you'll watch it appear.
Attach the sheet
Click + again and pick the sheet from your Drive. If you don't see a Drive option, open the sheet, click Share, copy the link, and paste it into the message right after the sentence. Either way, Gemini needs to be told which sheet before it can read it.

"Tabs one and two" works when the sheet has 2 tabs. With more tabs, or tabs with names, this version gets it right the first time.

When it finishes, check one number before you do anything else. Pick a total you know, like this month's bookings, and compare it with the sheet. If it matches, go to the follow-ups. If it's off, skip to the fix at the bottom of this page.

Add a filter by month

So "how was July?" gets answered with one click instead of a new dashboard.

Copy it.
Add a filter at the top of the page where I can pick a month. When I pick one, every chart and total on the page should show only that month. Start it on the current month, and include an "All months" option.

Show the top 5

Your best clients, your biggest expenses, your most booked service. Whatever the sheet knows.

Add a section called "Top 5" that ranks the top 5 [clients by total amount booked], biggest first, with the amount next to each name. It should respect the month filter.

Add a total and a trend

One big number at the top, and a small line that shows whether it's going up or down.

At the very top, show the total [revenue] for the selected month as one large number. Next to it, add a small line chart of that same total by month for the last 12 months, and label the highest and lowest month.

Because you'll open it in a parking lot between appointments, and so will they.

Make this readable on a phone. Stack every section in one column, make the big numbers large, and keep every chart label readable without zooming. The month filter should stay at the top and be easy to tap.

Explain what changed this week

The 3 sentences you'd say out loud if someone asked. Written for you, from the numbers.

Copy it. Fill in anything in [brackets].
Add a box at the top called "This week" with 3 plain sentences comparing the last 7 days with the 7 days before: the biggest increase, the biggest drop, and anything that looks unusual. Use the dates in the [Date] column. Plain English, no jargon, numbers as digits.

After each one, check the number again. If a follow-up breaks something, say "undo that last change" and try it with more detail: which column, which tab, which month.

Share the link

The dashboard is a page with its own address. That's the part that makes it useful to someone other than you.

Copy the Canvas link
Use the share button at the top of the Canvas and copy the link. Paste it into a new browser tab first, and check that the page opens outside the chat. That's the version other people will see.
Send it to whoever asked
Text it, email it, drop it in a chat. Anyone with the link can open it. They don't need to know what Gemini is.
Change it by talking
Back in the chat, say what you want. "Make the totals bigger." "Add a chart for this month." "Take out the expenses section." The person with the link sees the new version the next time they open it. Same link, no re-sending.
Who can see it

Anyone you send the link to, and anyone they forward it to. Before you share, read what's on the page the way a stranger would. If the sheet has client names, phone numbers, or amounts you'd rather keep between you and your accountant, say this first: "Remove the client names and show initials instead." Then copy the link.

If you add rows to the sheet later and the dashboard doesn't change, attach the sheet again in the same chat and say "rebuild with the latest data."

Same tabs, new format

Turn the same tabs into a slide deck

Same chat, same sheet. Ask for slides and Canvas builds a deck you can send to Google Slides or download as a PDF. Good for the monthly check-in with your accountant, a partner, or anyone who wants to see the numbers in order.

Using the same tabs, make a 6-slide deck for [a monthly check-in with my accountant]. Slide 1 is a title with the month. Slide 2 is the headline numbers. Slides 3 to 5 are one chart each for the main trends. Slide 6 is 3 things to watch next month. Short text, one idea per slide, numbers as digits.

When it's done, use the export option in the Canvas to send it to Google Slides. Open it there, fix any slide you don't like, and present from there. If you'd rather email it, download the PDF instead.

When it goes wrong

When it reads the wrong tab or column

This is the most common miss. You asked for bookings and it charted expenses, or it counted the Notes column as money. It happens when tabs are called Sheet1 and headers are vague. Fix it in the chat. You don't have to start over.

You used the wrong data. Use only the tab called [Bookings]. The dates are in the column labeled [Date] and the money is in the column labeled [Total paid]. Ignore the tab called [Notes] and ignore any column I did not name. Rebuild the dashboard with that, and tell me which columns you used.
